If your sponsorship includes a table display, reference the information below. Please review your signed order to confirm that a display is included.
WHAT IS INCLUDED IN YOUR TABLE DISPLAY
Space Size: 8′ x 10′
1 (one) 6′ Skirted Table Provided
2 Chairs Provided
Display backdrop can be between 8ft – 10ft wide. All banners and backdrops MUST fit within a 10ft width.
IMPORTANT SHIPPING DEADLINES:
Thursday, February 27, 2025 – Shipments can begin to arrive at the hotel
Saturday, March 1, 2025 – Last day for shipments to arrive
All handling fees must be paid for your items to be released for setup. Please email Deron Merrida at deron.merrida@hilton.com and copy Caitie Devine at cdevine@royalmedia.com to confirm your fees are paid.

Sponsor Display Tear-down: 12:15 pm – 3:00 pm
All sponsor displays must be completely setup by the listed time and no display can begin tear down until after the listed time. If it comes to our attention that you did your setup or tear down outside of these assigned times, you will be subject to a fine equal to 10% of your sponsorship fee.

AV & power needs are provided through the onsite team at the Hilton Nashville Downtown. If you will need either of these services at your display, please fill out the form below. Please note that general WiFi will be available in the meeting space. Power will NOT be included with your display space. If your team needs power, it will need to be ordered through Pinnacle Live.
